Declaring Your Vaccination Status

Update October 27, 2021: All students, faculty and staff must complete the Red Deer Polytechnic COVID-19 vaccination declaration, available on TheLoop. This declaration is mandatory for all students and employees, whether you are coming to campus or learning/working entirely online

Why is it mandatory for everyone to complete the vaccine declaration form?
As part of the Government of Alberta’s vaccination requirement program, Red Deer Polytechnic is required to identify our understanding of the vaccination status for all members of our community, including students and employees.

Does everyone need to complete the vaccine declaration, even if they will not be on campus?
Yes. Based on requirements from the government, all students and employees must complete the form. This applies to:

  • Those who are on campus regularly or casually, as well as those who study or work entirely online
  • Those who are fully vaccinated, partially vaccinated or unvaccinated, as well as anyone who chooses not to disclose their vaccination status

What if I don’t want to disclose my vaccination status?
On the vaccine declaration, you can choose one of four options for your status: fully vaccinated, not vaccinated, partially vaccinated, or vaccine status not disclosed. These options provide you with the opportunity to select the best fit for your situation.

Information for Those Coming to Campus (Students and Employees)

By November 14:

  3. You will need to be fully vaccinated to come to campus. Questions about this? See Important Dates or Access to Main Campus.
Information for Online Learners and Employees

The following applies to anyone learning or working entirely online (who will not be coming to campus for any reason).

By November 14:

  1. You must complete your vaccination declaration form, found on TheLoop.
    • This applies if you are fully vaccinated, partially vaccinated, unvaccinated or if you choose not to disclose your vaccination status.
    • On the form, you will be able to select No if you will not be coming to Red Deer Polytechnic’s campuses in Fall Term.
    • This will lead you to a series of other questions to complete your declaration.

If your situation changes:

  1. If you need to come to campus for any reason, you should update your form on TheLoop to indicate this.

Vaccine Verification Using SAFE RDC App

November 25, 2021:

For the Winter 2022 Term, Red Deer Polytechnic is implementing digital vaccination verification for all students and employees using the SAFE RDC app. This verification process will help to streamline access to campus by providing students and employees with an approved, Red Deer Polytechnic-specific QR code that will provide proof of their vaccination or their approved Red Deer Polytechnic exemption. This will be required starting January 1, 2022 (Winter term and apprenticeship intakes) for all students and employees, whether you are coming to campus or learning and working entirely online.

Please note: this process is only for students and employees. Visitors to Red Deer Polytechnic’s campuses and learning centres should follow the processes outlined for visitors

Timelines

  • Students will have from November 29 to December 17, 2021 to upload their documents
  • Employees will have from November 29 to December 3, 2021 to upload their documents
  • Starting January 1, 2022, all students and employees will use their approved Red Deer Polytechnic QR code to access campus

Additional Details

  • Students and employees will upload their documents using the SAFE RDC app (see details below).
  • If you have an approved Red Deer Polytechnic exemption, you will also upload this using the SAFE RDC app.
  • After documents have been uploaded, you will receive an orange (temporary) QR code, indicating that your document has been received and will be reviewed by a Red Deer Polytechnic employee.
  • Once your documents have been verified:
    • Your QR code on the SAFE RDC app will turn green, and you will receive an email to your Red Deer Polytechnic email that states your vaccination status has changed on the SAFE RDC app.
    • You are approved to come to Red Deer Polytechnic’s campuses and learning centres.
    • Please note: we will verify your documents as soon as possible, but this process may take up to 2 business days.
  • Starting January 1, you should be prepared to present your vaccine verification (Red Deer Polytechnic QR code) when you come to our campuses or learning centres.

The SAFE RDC app provides a secure way to upload your documents, and we are taking additional measures to protect your privacy.

  • 72 hours after your documents have been verified, they will be purged from the SAFE RDC app system, and they will not be saved.
  • When you display your Red Deer Polytechnic QR code, it will not show your vaccination or exemption status. It will simply indicate that your passport has been approved, accompanied by a green QR code.

Steps to Upload Your Vaccine Documents

  1. First, you will need to:
    • Take a photo or screenshot of your COVID-19 immunization record:
      • Alberta residents will need to provide proof of vaccinations through a QR code provided by the Government of Alberta.
      • Out-of-province and international residents will need to provide a photo or screenshot of the vaccination from their province/country. This will need to provide your name, vaccine name and dates of doses.
  2. Then, download the SAFE RDC app for free, if you do not have it already.
  3. Finally, open the SAFE RDC app and follow the instructions on these screenshots to upload your documents.
  4. After you have submitted your documents, you can use the SAFE RDC app to see the status of your verification and to access your QR code, as described in these screenshots.

Why is it mandatory for all students and employees to upload their vaccine documents?

As part of the Government of Alberta’s vaccination requirement program, Red Deer Polytechnic is required to identify our understanding of the vaccination status for all members of our community, including all students and employees.

Do all students and employees need to upload their vaccine documents, even if they will not be on campus?

Yes. Based on requirements from the government, all students and employees must upload their documents. This applies to:

  • Those who are on campus regularly or casually
  • Those who learn or work entirely online

Rapid Testing

Winter and Spring 2022 Terms (January to June 2022)

Update December 8, 2021:

During Winter and Spring 2022 Terms (January 1 to June 30, 2022), current and returning students, as well as current employees, who are not fully vaccinated are required to submit negative rapid test results (paid for by the individual) before their arrival at our campuses or learning centres.

Steps to upload approved negative COVID-19 rapid test results:

  • Current and returning students who are not fully vaccinated (or who choose not to disclose their vaccination status to the institution) must upload approved COVID-19 rapid test results to the RDC SAFE app. Please follow these instructions
  • Students who submit rapid tests must complete this online form no later than Friday, December 17

Current employees who are not fully vaccinated will receive direct communication from the Vaccination Program Office about submitting rapid test results.

Update December 2, 2021:

As Red Deer Polytechnic continues thoughtful review of the institution’s vaccination program for the Winter and Spring 2022 Terms, we have updated the option of approved COVID-19 rapid testing. For Winter and Spring 2022 Terms (January 1 to June 30, 2022):

  • Continuing students, returning students and current employees will be permitted to provide, at their own expense, a COVID-19 negative test result within 72 hours of each time they attend our campuses or learning centres, if they are not fully vaccinated. Definitions are as follows:
    • Continuing student: was registered in at least one course in the Fall 2021 Term, or has completed at least one apprenticeship technical period at Red Deer Polytechnic.
    • Returning student: has previously completed course work towards a program or apprenticeship technical period(s) at Red Deer Polytechnic.
    • Current employee: an employee who has an existing employment contract and will continue to be employed under the same employment contract beyond January 1, 2022. In the event an employment contract with an employee ends the individual would be subject to the vaccination requirements as outlined in the policy that takes effect January 1, 2022.

The decision to continue to permit the use of negative COVID-19 rapid tests by current and returning students who are not fully vaccinated will help ensure students who began their education before the implementation of the institution’s vaccination program can successfully complete their current program.

Permitting current employees to continue to provide proof of a COVID-19 negative test result, if they are not fully vaccinated, is done so in the same spirit of offering an option to continue working during a circumstance (the pandemic) that was not present when their employment contract began.

All students in practicums, clinical placements and work-integrated learning experiences must be fully vaccinated. All students must also meet the vaccination requirements of governing bodies, agencies, organizations or other post-secondary institutions in which they may be enrolled, in addition to meeting the vaccination requirements of Red Deer Polytechnic.

  • New students must be fully vaccinated for COVID-19 or have a medical exemption approved by Red Deer Polytechnic no later than January 1, 2022, in order to enroll in any Winter or Spring 2022 Term classes. Definitions are as follows:
    • New student: has never completed course work or apprenticeship technical period(s) at Red Deer Polytechnic.
    • This applies to all new students, regardless of which delivery method their course(s) or practicums are offered (online, in-person, blended or hybrid), with the exception of:
      • Online learners who attest that they will participate 100 per cent online and not engage in any face-to-face environment at any of RDP’s campuses, learning centres or other non-RDP facilities for the purposes of assessment for admission, assessment of learning outcomes, research, work-integrated learning, practicum/clinical placements or otherwise.
      • These online students may apply for an exemption from Red Deer Polytechnic’s vaccination program. Details about applying for the online exemption will be provided to students on December 8

  • New employees (hired to commence employment after January 1, 2022) must be fully vaccinated for COVID-19, or have an exemption approved by Red Deer Polytechnic prior to beginning work, in order to teach or work at Red Deer Polytechnic. Definition as follows:
    • New employee: an employee who will begin a new employment contract on or after January 1, 2022, regardless of whether the individual has previously worked within another employment contract for Red Deer Polytechnic.

Vaccination is one of the most effective ways to protect ourselves and our families and communities from COVID-19. According to the Government of Alberta and other trusted sources, evidence indicates that vaccines are very effective at preventing severe illness, hospitalization and death from COVID-19 and variants.

Red Deer Polytechnic is continuing its full vaccination program through January to June 2022, inclusive. The transition period between now and the end of the 2021/2022 academic year allows our institution to maintain safe campuses and learning centres where students can attend in person. This also supports our commitment to current and returning students who are progressing in programs that started prior to the launch of the full vaccination program.

Red Deer Polytechnic acknowledges as we move into the Winter & Spring 2022 Terms that we have different vaccination requirements for new students compared with continuing or returning students. This decision was made with much thought, and with the intention that as the Polytechnic admits new students, we do so with the intent that new students successfully begin and complete their post-secondary education in a consistent in-person and virtual environment, and while also creating as safe of an environment as possible for everyone.

New students who do not wish to be vaccinated may request to cancel their Winter term registration and receive a full refund by emailing admissions [at] rdpolytech [dot] ca no later than December 24, 2021. Please note: Red Deer Polytechnic is closed starting at noon on December 24, 2021, and will re-open at 8:30 am on Tuesday, January 4, 2022.

Verifying Rapid Test Results During Winter and Spring 2022 Terms

Just as employees and students who are fully vaccinated must verify their vaccination records using the SAFE RDC app, starting on January 1 individuals who complete COVID-19 rapid tests throughout the Winter and Spring 2022 Terms (January 1 to June 30, 2022) will be required to submit their negative test results. Details of this submission process will be provided to eligible employees and students on December 8.
